Attachment 1: Office inclement weather policies

The safety of all employees is our top priority, particularly during inclement weather conditions. Individual offices’ protocols apply in such instances. During the weather event, Aegis remains operational, and employees are expected to telework. If, at any time, an employee feels that coming to work would be unsafe due to weather conditions, the employee may use their discretion regarding travel safety and communicate with their manager and, if applicable, their on-site client contact as soon as possible. If an employee is unable to work due to weather-related closures, the employee must use PTO or a Personal Day.

HQ and Mid-Atlantic office - Silver Spring, Maryland

Aegis’ HQ and Mid-Atlantic (MA) offices follow the Federal Government for cancellations, but not for any delays or telework. Should the Federal Government close, HQ and MA will also close. Should the Federal Government have a delayed opening or optional telework, HQ and MA will be open for normal business hours. You can always check the status on the OPM website or the OPM mobile alert app.

Southwest office – Dallas, Texas

The Dallas office will generally follow the Dallas ISD inclement weather policy for closures. Decisions to close the schools are typically communicated to local radio and television by 6 a.m. and will be posted on their websites. Employees living in other school districts should follow the inclement weather policy for their school area.

West Coast office – Irvine, California

Because severe weather events in California tend to be localized fires, floods, and landslides, they may affect some employees but not others. As such, each employee will need to make their own decision, using their best judgment. Unless the office has been deemed unsafe due to a weather event, the Irvine office will be open, and employees are expected to report to work.

Northeast office – Philadelphia, Pennsylvania

The Philadelphia office will follow the guidelines set by the City of Philadelphia Office of Emergency Management. Closing information is available on their website, which lists closures and important emergency information.

Southeast office – Orlando, Florida

The Orlando office typically follows the Orange County Emergency Information Office for closures. Employees can check closures and access important emergency information on their website.

Pacific Northwest office – Portland, Oregon

Severe weather in Portland includes but is not limited to snow, ice, windstorms, fire, or flooding, which may affect some employees’ ability to travel and not others. Generally, the office will follow the City of Portland for weather-related closings; closing information can be found on the City of Portland alerts page.

Denver office – Denver, Colorado

The Denver office will generally follow the Colorado Department of Personnel & Administration for weather-related closings. Because some weather events, including snow, ice, landslides, or fires, may affect some employees based on location and not others, employees will need to make the best decision based on available information.

Mountain West – Salt Lake City, Utah

The Mountain West office will follow the Salt Lake City School District inclement weather policy for closures. Because weather events can include winter storms, earthquakes, and flooding, employees should be aware of the risks where they live and use their judgment when traveling.

Phoenix office – Phoenix, Arizona

Extreme heat is the primary weather hazard in Phoenix. Because extreme weather events are infrequent and the city of Phoenix does not have a city-wide weather alert or closure system, employees are expected to use their best judgment. This includes, but is not limited to, avoiding prolonged outdoor exposure and, when possible, scheduling off-site meetings during cooler parts of the day, such as early morning hours.

Retaliation against an employee for requesting or taking leave under this policy is strictly prohibited.

Crime victim leave

Aegis provides unpaid leave to employees who are victims of a crime to respond to a subpoena to testify in a criminal proceeding or to participate in the reasonable preparation of a criminal proceeding. Attachment 5: Arizona employees

  • Absence necessary due to domestic violence, sexual violence, abuse or stalking, provided the leave is to allow the employee to obtain for the employee or the employee’s family member:

  • Services from a domestic violence or sexual violence program or victim services organization;
  • Psychological or other counseling;

  • Legal services, including but not limited to preparing for or participating in any civil or criminal legal proceeding related to or resulting from the domestic violence, sexual violence, abuse or stalking.

For the purposes of this policy, “family member” means: (1) regardless of age, a biological, adopted or foster child, stepchild or legal ward, a child of a domestic partner, a child to whom the employee stands in loco parentis, or an individual to whom the employee stood in loco parentis when the individual was a minor; (2) a biological, foster, stepparent or adoptive parent or legal guardian of an employee or an employee’s spouse or domestic partner or a person who stood in loco parentis when the employee or employee’s spouse or domestic partner was a minor child; (3) a person to whom the employee is legally married under the laws of any state, or a domestic partner of an employee as registered under the laws of any state or political subdivision; (4) a grandparent, grandchild or sibling (whether of a biological, foster, adoptive or step relationship) of the employee or the employee’s spouse or domestic partner; or (5) any other individual related by blood or affinity whose close association with the employee is the equivalent of a family relationship.

Voting leave

Aegis provides up to 3 hours of paid leave for eligible employees to attend the polls to vote on election day in a general or primary election. Employees are not eligible for this leave if the employee’s work hours do not start until at least 3 hours after the polls open, or end at least 3 hours before the polls close. Notice must be provided to the Company at least 1 day before the election. Aegis may specify the hours during which the employee may be absent. Retaliation against employees for requesting or taking leave under this policy is strictly prohibited.

Crime victim leave

Aegis provides reasonable unpaid leave to employees who are victims of a crime or juvenile offense to: (i) attend all criminal or juvenile proceedings which the defendant or the delinquent is entitled to attend; (ii) attend the accused’s initial appearance or detention hearing; (iii) attend post-arrest custody or detention decisions; (iv) attend plea negotiation proceedings; (v) attend sentencing or disposition proceedings; (vi) attend probation modification, revocation disposition, or termination proceedings; (vii) attend post-conviction or post-adjudication release proceedings; or (viii) obtain an order of protection, injunction against harassment, or any other injunctive relief to ensure the health, safety, and welfare of the employee or the employee's child. Employees must give notice to the Company of the need for such leave as soon as possible by providing one of the following: (a) a copy of the form provided to the employee by a law enforcement agency, (b) a copy of a court order the employee is subject to, or (c) any other proper documentation. Employees must also give the Company a copy of the notice of each scheduled proceeding that is provided to the employee by the agency responsible for providing such notice. Attachment 6: California employees

Personal days

The Personal Days policy in the main part of the handbook applies except that California employees may carry over unused Personal Day(s) to the following calendar year up until they have a total of two Personal Days at any time. Once an employee has two Personal Days, further Personal Days will not be given until the balance drops to below two days. Unused Personal Day(s) will be paid out upon termination.

Sick and safe leave

Refer to the PTO policy outlined in this Handbook, which covers entitlements under applicable sick and safe leave laws. Eligible employees may use PTO for any purpose, including but not limited to, leave for any of the following:

  • the diagnosis, care, or treatment of an existing health condition of, or preventive care for, the employee or the employee's family member;
  • to serve on a jury;
  • to appear in court to comply with a subpoena or other court order as a witness in a judicial proceeding;
  • for an employee who is a victim of a qualifying act of violence to obtain relief, including a restraining order, to help ensure the health, safety, or welfare of the victim or their child;
  • to attend judicial proceedings related to the employee or the employee’s family member being a victim of a violent or serious felony or other specified serious offenses;
  • for an employee who is a victim or whose family member is a victim of a qualifying act of violence, to obtain certain victim-related relief and services such as medical attention for injuries, services from a domestic violence shelter, program, or rape crisis center, psychological counseling, or to participate in safety planning and take other actions to increase safety;

To the extent required by law, employees may also use this leave for other kin care reasons.

For this policy, a family member is an employee's child, legal ward, or a child to whom the employee stands in loco parentis; parent, legal guardian, or person who stood in loco parentis when the employee was a minor child; spouse or registered domestic partner; grandparent; grandchild; sibling; spouse/registered domestic partner's parent or legal guardian; or designated person identified by the employee at the time the employee requests paid sick or safe leave. The Company may limit employees to one designated person per 12-month period. For employees who separate from Aegis and are rehired within one year from the date of separation, Aegis will reinstate any previously accrued but unused paid sick leave to the extent required by law.

Employees must provide reasonable notice to their manager and HR if they anticipate needing paid sick leave. If the need is not foreseeable, employees must provide notice as soon as possible. Retaliation for requesting or taking leave under this policy is strictly prohibited.

Pregnancy disability leave

Aegis complies with California law regarding pregnancy disability leave, as outlined in the following posting. Employees who are disabled due to pregnancy, childbirth, or a related medical condition are eligible for up to four months of unpaid leave, to the extent required by law. Employees must give reasonable notice of the start and duration of their leave and must give at least 30 days’ notice where practicable.

California Family Rights Act (CFRA) leave

Employees who have more than 12 months of service with Aegis and who have worked at least 1,250 hours in the 12-month period before the leave, are eligible for up to 12 workweeks of family care or medical leave in a 12-month period, to attend to: (i) the birth, adoption, or foster care placement of the employee’s child; (ii) the employee’s own serious health condition; (iii) the serious health condition of the employee’s child, parent, spouse, registered domestic partner, sibling, grandchild, grandparent, child of the employee’s registered domestic partner, or a designated person (any individual related by blood or whose association with the employee is the equivalent of a family relationship); or (iv) a qualifying exigency related to the covered active duty or call to covered active duty of the employee’s spouse, registered domestic partner, child, or parent in the U.S. Armed Forces. Employees are limited to one designated person per 12-month period for family care and medical leave. To the extent permitted by law, leave under this policy will run concurrently with and count against any other applicable leave entitlement for these circumstances, including but not limited to any available FMLA leave.

Employees should provide at least 30 days' advance notice for leave that is foreseeable, if possible. For unforeseeable leave, employees should notify the Company as soon as practicable. Aegis may require certain documentation for verification purposes to the extent permitted by law. Retaliation for requesting or taking leave under this policy is strictly prohibited.

California Paid Family Leave

California’s Paid Family Leave provides temporary disability insurance benefits to workers who receive time off to care for their family members. Funded through California’s Disability Insurance tax withholding, eligible employees may receive up to eight weeks of partial wage replacement benefits to bond with a new child (either by birth, adoption, or foster care placement), to care for a seriously ill family member (child, parent, parent-in-law, grandparent, grandchild, sibling, spouse, or registered domestic partner), to care for a designated person (any individual related by blood or whose association with the employee is the equivalent of a family relationship), or to participate in a qualifying event resulting from a family member’s (spouse, registered domestic partner, parent, or child) military deployment to a foreign country. To bond with a new child, employees may take leave within the first 12 months of the child entering the family. An employee is limited to one designated person per 12-month period. To the extent permitted by law, leave under this policy will run concurrently with and count against any other applicable leave entitlement for these circumstances, including but not limited to any available FMLA leave and/or leave under applicable state or local law.

To qualify for this California benefit, an employee must be covered by State Disability Insurance (or a voluntary plan instead of State Disability Insurance), have earned at least $300 during the applicable base period, and submit their claim no later than 41 days after they begin their family leave. California Paid Family Leave generally provides partial wage replacement benefits. Employees can go to edd.ca.gov/PFL_Calculator to estimate their benefit. Employees can apply for benefits online via edd.ca.gov/SDI_Online, or via paper form located at edd.ca.gov/Forms.

Disability insurance

Employees who are temporarily unable to work due to illness, surgery, pregnancy, recovery from childbirth or other related medical conditions, or residential alcohol or drug addiction recovery may be eligible for short-term disability partial wage replacement benefits pursuant to California’s State Disability Insurance program. Eligibility and benefit levels are determined by the State of California. For more eligibility information or to file a claim, visit the California Employment Development Department (EDD) website.

Lactation accommodation

Aegis provides a reasonable amount of break time to accommodate employees desiring to express breast milk for the employee’s infant child. The break time, if possible, shall run concurrently with any break time already provided to the employee. Aegis will make reasonable efforts to provide the employee with use of a room or other location, other than a bathroom, in proximity to the employee’s work area, for the employee to express milk in private. This room or location may include the place where the employee normally works if it otherwise meets those requirements.

Employees have the right to request lactation accommodation. Requests for lactation accommodation should be made to HR. To the extent Aegis cannot provide break time or a location as described above, Aegis will provide a written response to the employee. Employees have a right to file a complaint with the California Labor Commissioner for any violation of a right under California’s lactation accommodation law. Retaliation against employees for requesting or using lactation accommodation, or for filing a complaint, is strictly prohibited.

Witness leave

Aegis provides leave for California employees to appear in court as a witness in compliance with a subpoena or court order. To the extent required by law, Aegis also provides leave for employees who are victims of qualifying acts of violence, or whose family member is a victim of a qualifying act of violence, to: (i) seek medical attention for injuries; (ii) obtain services from a domestic violence shelter or similar victim services organization; (iii) obtain psychological counseling or mental health services; (iv) participate in safety planning; (v) relocate or engage in the process of securing a new residence, including temporary or permanent housing or enrolling children in a new school; (vi) provide care for a family member who is a victim of a qualifying act of violence; (vii) seek, obtain, or provide childcare or care to a care-dependent adult if necessary to ensure the safety of the child or dependent adult; (viii) seek or obtain civil or criminal legal services; (ix) obtain or attempt to obtain relief such as a restraining order or other injunctive relief; or (x) prepare for, or to participate in, or attend any civil, administrative, or criminal legal proceeding related to the qualifying act of violence. If the victim of the qualifying act of violence is the employee, then total leave time that may be taken under this policy is 12 weeks. If the victim of the qualifying act of violence is not the employee, but instead is the employee’s family member, then the amount of leave time that may be taken to assist in relocation purposes is limited to 5 days, and the total leave taken is limited to 10 days.

This leave is unpaid; however, employees may elect to use their available paid leave. Employees must provide the Company with reasonable advance notice if feasible; otherwise, employees should give notice of the leave to the Company as soon as possible. Aegis may require certain certification documents for verification purposes. Retaliation against employees for requesting or taking such leave is strictly prohibited.

For purposes of this policy, family member means a biological, adopted, or foster child, stepchild, legal ward, a child of a domestic partner, or a child to whom the employee stands in loco parentis; a biological, adoptive, or foster parent, stepparent, or legal guardian of an employee or the employee's spouse or registered domestic partner, or a person who stood in loco parentis when the employee was a minor child; spouse; registered domestic partner; grandparent; grandchild; sibling; or designated person identified by the employee at the time the employee requests the crime victim leave. The Company may limit employees to one designated person per 12-month period.

To the extent permitted by law, leave under this policy runs concurrently with any other applicable leave for these circumstances, including but not limited to any available FMLA leave and/or CFRA leave.

Voting leave

Aegis provides up to 2 hours of paid leave for eligible employees to vote in statewide elections. An employee is not eligible for this leave if the employee has sufficient nonworking time in which to vote. Employees must give notice to Aegis of the need for such leave at least two working days before the election if, on the third working day before the election, the employee knows or has reason to know that the employee will need leave to vote. Retaliation against employees for requesting or taking such leave is strictly prohibited.

Attachment 7: Colorado employees

Personal days

The Personal Days policy in the main part of the handbook applies, except that Colorado employees may carry over unused Personal Day(s) to the following calendar year up to a total of two Personal Days at any time. Once an employee has two Personal Days, further Personal Days will not be given until the balance drops to below two days. Unused Personal Day(s) will be paid out upon termination.

Colorado sick and safe leave

Refer to the PTO policy outlined in this Handbook, which covers entitlements under applicable sick leave laws. Eligible employees may use PTO for any purpose, including but not limited to, leave for any of the following:

  • The employee has a mental or physical illness, injury, or health condition that prevents the employee from working, needs to obtain a medical diagnosis, care, or treatment of a mental or physical illness, injury, or health condition, needs to obtain preventive medical care, or needs to grieve, attend funeral services or a memorial, or deal with financial and legal matters that arise after the death of a family member;
  • The employee needs to care for a family member who has a mental or physical illness, injury, or health condition, needs to obtain a medical diagnosis, care, or treatment of a mental or physical illness, injury, or health condition, or needs to obtain preventive medical care;
  • The employee or the employee's family member has been the victim of domestic abuse, sexual assault, or harassment and the use of leave is to seek medical attention for the employee or the employee's family member to recover from a mental or physical illness, injury, or health condition caused by the domestic abuse, sexual assault, or harassment, obtain services from a victim services organization, obtain mental health or other counseling, seek relocation due to the domestic abuse, sexual assault, or harassment, or seek legal services, including preparation for or participation in a civil or criminal proceeding relating to or resulting from the domestic abuse, sexual assault, or harassment;
  • Due to a public health emergency, a public official has ordered closure of the employee's place of business, or the school or place of care of the employee's child and the employee needs to be absent from work to care for the employee's child;
  • The employee needs to care for a family member whose school or place of care has been closed due to inclement weather, loss of power, loss of heating, loss of water, or other unexpected occurrence or event that results in the closure of the family member's school or place of care; or
  • The employee needs to evacuate the employee's place of residence due to inclement weather, loss of power, loss of heating, loss of water, or other unexpected occurrence or event that results in the need to evacuate the employee’s residence.

For the purposes of this policy, a "family member" is a person who is related by blood, marriage, civil union, or adoption; a child to whom the employee stands in loco parentis or a person who stood in loco parentis to the employee when the employee was a minor, or person for whom the employee is responsible for providing or arranging health- or safety-related care.

Colorado's Paid Family and Medical Leave Insurance (FAMLI) program provides eligible employees with partial wage replacement benefits. Funded through employee and employer contributions, eligible employees may receive up to 12 weeks of partial wage replacement benefits to: (1) care for a new child, including adopted and foster children; (2) care for themselves, if they have a serious health condition; (3) care for a family member with a serious health condition; (4) make arrangements for a family member's military deployment; and (5) address the immediate safety needs and impact of domestic violence and/or sexual assault. Eligible employees with a serious health condition related to pregnancy complications or childbirth complications may receive up to an additional 4 weeks of partial wage replacement benefits. Eligible employees who have a child receiving inpatient care in a neonatal intensive care unit may receive up to an additional 12 weeks of partial wage replacement benefits. Leave to care for a new child must be taken within the first 12 months after birth, foster placement, or adoption. For purposes of this policy, family member includes a child (biological, foster, adopted, of a domestic partner, or of to whom the employee stood in loco parentis); parent (biological, adoptive, or foster parent, stepparent or legal guardian of an employee or an employee's spouse or domestic partner or a person who stood in loco parentis when the employee or employee's spouse or domestic partner was a child); spouse or domestic partner; grandparent of the employee or the employee's spouse or domestic partner (whether a biological, foster, adoptive, or step relationship); grandchild of the employee or the employee's spouse or domestic partner (whether a biological, foster, adoptive, or step relationship); sibling of the employee or the employee's spouse or domestic partner (whether a biological, foster, adoptive, or step relationship); and any other person with whom the employee has a significant personal bond that is or is like a family relationship, regardless of biological or legal relationship.

Employees must provide at least 30 days' notice of their need for this leave, if possible. If the leave is unforeseeable, employees must provide notice as soon as practicable. To the extent permitted by law, leave under this policy will run concurrently with and count against any other applicable leave entitlement for these circumstances, including but not limited to any available FMLA leave and/or leave under applicable state or local law. To the extent required by law, employees may choose to use their available paid leave before using FAMLI benefits. Upon return from leave, an employee who was employed for at least 180 days before the commencement of the employee's leave is entitled to be restored to the same position or equivalent position with equivalent benefits, pay, and other terms and conditions of employment that the employee held before the commencement of leave. Employees are not entitled to accrual of any seniority or employment benefits during any period of leave. Retaliation against employees for requesting or taking leave under this policy is strictly prohibited.

To qualify for this benefit, an employee must have earned at least $2,500 in yearly wages in Colorado. The FAMLI program generally provides approximately 37 to 90 percent of an employee's normal weekly wages. Employees can go to https://famli.colorado.gov/individuals-and-families/premium-and-benefits-calculator to estimate their benefit.

Family And Medical Leave

The FMLA policy in the main part of the handbook above applies. However, to the extent required by law, in addition to the permitted uses in the FMLA policy, Colorado employees who are eligible for FMLA leave may use such leave to care for a significant other with a serious health condition if that person is: (i) the employee's partner in a civil union; or (ii) the employee's partner in a domestic partnership, and the domestic partnership has, if so required, been registered with the city or state, or Aegis otherwise recognizes the partnership even if not registered. Aegis may request certain documentation for verification purposes. Retaliation against employees for requesting or taking leave under this policy is strictly prohibited.

Voting leave

Aegis provides up to 2 hours of paid leave for eligible employees to vote on election day. An employee is not eligible for this leave if the employee has 3 or more nonworking hours during which the polls are open. Employees must give notice to Aegis of the need for such leave as soon as possible before election day. Retaliation against employees for requesting or taking leave under this policy is strictly prohibited.

Victim protection leave

Colorado employees who have been employed for at least 12 months and who are victims of domestic abuse, stalking, sexual assault, or any crime the underlying of which has been found by a court to include an act of domestic violence, may take up to 3 days of unpaid leave to: (i) seek a civil protection order to prevent domestic abuse; (ii) obtain medical care or mental health counseling or both for the employee or for the employee's children to address physical or psychological injuries resulting from the act of domestic abuse, stalking, sexual assault or other crime involving domestic violence; (iii) make the employee's home secure from the perpetrator of the act of domestic abuse, stalking, or sexual assault or other crime involving domestic violence, or seeking new housing to escape the perpetrator; (iv) seek legal assistance to address issues arising from the act of domestic abuse, stalking, or sexual assault or other crime involving domestic violence and attend and prepare for court-related proceedings arising from the act or crime. Employees must give notice to Aegis of the need for such leave as soon as possible. Aegis may require certain documentation for verification purposes.   • the illness, injury, or health condition of the employee's family member; diagnosis or treatment of such illness, injury, or health condition; or related preventive care;

  • if the employee or their family member is a victim of family violence or sexual assault, provided the employee is not the perpetrator or alleged perpetrator, for: medical care or counseling, victim services, relocation, or participation in legal proceedings resulting from such family violence or sexual assault.

For purposes of this policy, family member means: a spouse, sibling, child, grandparent, grandchild, parent, or an individual related to the employee by blood or affinity whose close association is equivalent to those family relationships. Retaliation against an employee for requesting or taking leave for sick/safe leave purposes is strictly prohibited.

Family and Medical Leave

Employees who have worked for Aegis for at least 3 months before the leave is to begin may be entitled to take up to 12 weeks of unpaid leave during a 12-month period for the reasons set forth below, plus an additional 2 weeks of unpaid leave for a serious health condition resulting from incapacitation that occurs during pregnancy. Employees may be entitled to take up to 26 weeks of unpaid leave in a 12-month period to care for a spouse, child, parent, or next of kin who is a member of the armed forces and who is undergoing medical treatment, recuperation, or therapy for a serious injury or illness incurred in the line of duty. Employees may elect to use their available paid leave during this leave.

In general, upon returning to work, employees will be restored to their former position or to an equivalent position with the same employment benefits and pay. Retaliation against an employee for requesting or taking leave under this policy is strictly prohibited.

To the extent permitted by law, this leave will run concurrently with any applicable leave entitlement for similar circumstances. Employees should provide as much notice to Aegis as possible.

Qualifying circumstances

Under this policy, employees may take leave for the following reasons:

  • To care for the employee's family member who has a serious health condition
  • For the employee's own serious health condition

For purposes of this policy, family member includes: spouse, sibling, child, parent, grandparent, grandchild, or individual related to the employee by blood or affinity whose close association the employee shows to be equivalent to those family relationships.

In accordance with Connecticut's Paid Leave Program ("CPL"), eligible employees are entitled to up to 12 weeks of leave in a 12-month period (plus 2 additional weeks for serious health conditions resulting in incapacitation during pregnancy) for the reasons set forth below, except where a shorter period is specified. CPL leave is not paid by Aegis, but employees may request partial wage replacement benefits from Connecticut's Paid Leave Program to receive compensation during leave. The amount of the benefit is based on the employee's income and is subject to a monetary cap.

Employees are eligible for CPL leave if they: (i) have earned at least $2,325 in earnings during their highest earning quarter of the first 4 of the 5 most recently completed quarters; and (ii) are currently employed or have been employed within the last 12 weeks. If wages exceed the Connecticut minimum wage multiplied by 40, the employee’s weekly benefit rate will be 95% of the Connecticut minimum wage multiplied by 40 plus 60% of the amount that the average weekly wage exceeds the Connecticut minimum wage multiplied by 40. The weekly benefit rate is capped at 60 times the Connecticut minimum wage. For more information and to apply for benefits, go to www.ctpaidleave.org.

  • the employee is not able to work because of: (a) a closure of the employee's workplace, or the school or place of care of a child of the employee by order of a public official or because of a state of emergency declared by the Governor, due to an epidemic or other public health emergency; (b) the declaration of a state of emergency by the Governor, or the issuance by a health care provider or the Commissioner of Health or other public health authority of a determination that the presence in the community of the employee, or a member of the employee's family in need of care by the employee, would jeopardize the health of others; or (c) during a state of emergency declared by the Governor, or upon the recommendation, direction, or order of a healthcare provider or the Commissioner of Health or other authorized public official, the employee undergoes isolation or quarantine, or cares for a family member in quarantine, as a result of suspected exposure to a communicable disease and a finding by the provider or authority that the presence in the community of the employee or family member would jeopardize the health of others.

For purposes of this policy, "family member" includes an employee's child; grandchild; sibling; spouse, domestic partner, or civil union partner; parent; grandparent; spouse, domestic partner, or civil union partner of parent or grandparent; or sibling of a spouse, domestic partner, or civil union partner; if an employee does not have a spouse, domestic partner, or civil union partner, any one person designated annually by the employee.

For purposes of this policy, family member includes the employee's spouse, child (biological, stepchild, adopted, foster, or legal ward), parent (biological, adoptive, foster, resource family parent, step-parent, or parent-in-law), foster parent, domestic partner, sibling, grandparent, grandchild, any other blood-relation, and any individual with the equivalent of a family relationship. In the case of an emergency, the employee must give the prior notice in a manner that is reasonable and practicable.

An employee who intends to take leave in connection with the serious health condition of a family member must provide Aegis with prior notice, no later than 30 days before the commencement of the leave, except in the event of an emergency. Employees must give prior notice of intermittent family leave in a manner that is reasonable and practicable. If an employee needs intermittent leave or leave on a reduced leave schedule, Aegis may require the employee to temporarily transfer to an available alternative position with equivalent pay and benefits, which better accommodates recurring periods of leave, if the employee is qualified for the position. An employee who takes intermittent or reduced schedule family leave, must make a reasonable effort to schedule the leave so as not to disrupt unduly the operations of Aegis. An employee who takes intermittent leave due to an epidemic of a communicable disease must provide notice of the leave as soon as practicable and, if possible, before the leave is taken, provide a regular schedule of the day or days on which the intermittent leave will be taken.

Aegis may require certain certification documents for verification purposes. If leave is requested due to a family member's serious health condition, the employee must provide a certification from an appropriate health care provider that states the date on which the serious health condition commenced, the probable duration of the condition, and the medical facts within the provider's knowledge regarding the condition. Under certain circumstances, an employee must cooperate in obtaining a second medical opinion by a health care provider designated by Aegis and, if the opinions differ, a final, binding medical opinion from a third health care provider to be agreed upon by the Company and the employee. Where the certification is for the birth or placement of the child, the certification must state the date of birth or date of placement, whichever is appropriate. For leave taken due to the closure of a child's school or place of care, the certification must include the date on which the closure commenced and the reason for such closure. For leave taken due to a family member's ordered quarantine or isolation, the certification must include the date of issuance of the determination and the probable duration of the determination. For leave taken due to a family member's self-quarantine, the certification must include the date of the recommendation, the probable duration, and the medical or other facts within the health care provider's or public health authority's knowledge that support the recommendation.

To the extent required by law, employees who have worked for Aegis for at least 12 months and have worked at least 1,000 hours in the preceding 12 months may take up to 20 days' of unpaid leave per 12-month period when they or their child, spouse or domestic partner, parent, parent-in-law, sibling, grandparent, grandchild, or any individual related by blood or any other individual with a close association equivalent of a family relationship is the victim of a domestic violence incident or sexually violent offense within one year of the incident. Leave may be taken to: seek medical attention, obtain services from a victim services organization or counseling, participate in safety planning, relocate, seek legal assistance, or attend court proceedings. Employees requesting leave should provide advance written notice when their need for leave is foreseeable and may be required to submit documentation to substantiate the need for leave. To the extent permitted by law, leave under this policy will run concurrently with and count against any other applicable leave entitlement for these circumstances, including but not limited to any available FMLA leave and/or leave under applicable state or local law. For the purposes of this policy, a "family member" means a child, grandchild, grandparent, parent, sibling, or spouse of an employee, and also includes any individual who regularly resides in the employee's home or where the relationship creates an expectation that the employee cares for the person, and that individual depends on the employee for care.

  • Medical Leave: Up to 12 weeks of leave in a 52-week period to care for the employee's own serious health condition.

The maximum amount of leave employees may take in a 52-week period, in any combination of the above, is 16 weeks, which may be extended to up to 18 weeks if the employee experiences a serious health condition with a pregnancy that results in incapacity. Leave taken in the first 6 weeks after birth due to incapacity or for prenatal care is presumed to be medical leave, unless the employee chooses to use family leave benefits during that period.

For purposes of paid family leave, a family member includes a child, grandchild, grandparent, parent, parent-in-law, sibling, or spouse, as well as any individual who regularly resides in the employee's home or where the relationship creates an expectation that the employee will care for the person and that individual depends on the employee for care.

You must provide at least 30 days' notice of your need for this leave, if possible. If the need for leave is unforeseeable, you must provide notice as soon as practicable. Requests for leave should be directed to HR. Aegis may require reasonable documentation to verify that leave was used appropriately.

This leave is unpaid by Aegis, but employees may request partial wage replacement benefits from the Washington Employment Security Department. The amount of the benefit is based on the employee's income and is subject to a monetary cap. Benefit determinations are made by the Washington Employment Security Department.

To the extent an employee's leave under this policy also qualifies for leave under any other policy or entitlement, the leave will run concurrently, to the extent permitted by law. To the extent an employee receives paid leave under a different policy to supplement wage replacement benefits during some or all of their leave, payments generally will be integrated such that employees will not receive more than their regular compensation during this leave, except that employees may collect short-term or temporary disability benefits as well as family/medical leave benefits if applicable.

Employees who have worked for Aegis for at least 12 months and for at least 1,250 hours during the 12-month period before the leave is to begin will generally be restored to their former position or to an equivalent position with the same employment benefits, pay, and other terms and conditions of employment. Retaliation against an employee for requesting or taking leave under this policy is strictly prohibited.

Deployment of family members leave

Employees who work at least 20 hours per week and who have a spouse or state-registered domestic partner who is a member of the armed forces of the United States, National Guard, or reserves, may take up to 15 days of unpaid leave per deployment after the service member has received notice of an impending call or order to active duty, or when the service member is on leave from deployment. This leave is unpaid; however, employees may elect to use their available paid leave. Employees should provide notice to Aegis of the need for leave within 5 business days of receiving the official notice of the impending call or order to active duty, or of the service member's leave from deployment. Retaliation against an employee for requesting or taking leave under this policy is strictly prohibited.

Domestic violence leave

Aegis provides reasonable unpaid leave for eligible employees who are victims or family members of victims of domestic violence, sexual assault, a hate crime or stalking, to seek or obtain: (i) legal or law enforcement assistance related to or because of domestic violence, sexual assault, a hate crime or stalking; (ii) medical treatment for physical or mental injuries caused by domestic violence, sexual assault, a hate crime or stalking or to attend to those medical issues experienced by a family member; (iii) social services assistance from a domestic violence shelter, rape crisis center, or other social services program that provides relief from domestic violence, sexual assault, a hate crime or stalking or to attend to those issues experienced by a family member; (iv) mental health counseling for the employee or a family member related to domestic violence, sexual assault, a hate crime or stalking in which the employee or the family member was a victim; or (v) safety planning activities to temporarily or permanently relocate or otherwise improve the employee's or a family member's safety from domestic violence, sexual assault, a hate crime or stalking. For purposes of this policy, a family member means any person related to the employee as a child, spouse or state registered domestic partner, parent, parent-in-law, grandparent, or person whom the employee is dating.

Employees must provide advance notice to Aegis as soon as possible of their request to take this leave (and in emergency or unforeseen situations, within 24 hours of taking leave). Aegis may require certain documentation for verification purposes. Retaliation against an employee for requesting or taking leave under this policy is strictly prohibited.

Emergency response leave

Aegis provides unpaid leave to the extent required by law to employees who are volunteer firefighters, reserve officers, or members of the Civil Air Patrol to respond to, work at, or return from a fire alarm or emergency call. Employees should give notice to Aegis of the need for such leave as soon as possible. Retaliation against an employee for requesting or taking leave under this policy is strictly prohibited.
